Presentation Instructions
This page contains instructions for in-person and virtual presenters. The conference is held over two days. Each day, there will be four parallel sessions in the Main Hall, Medicine Hall, Engineering Hall, and Science Hall. The following floor map identifies the physical location and the Zoom links for the four presentation halls. Scroll down further for specific information on in-person and virtual presentations.
Conference Floor Plan

In-Person Presenters
Physical Location
- Note your time and day of presentation from the Conference Program. Programs for both days are available under the “Conference Info” tab.
- Identify your presentation hall location from the above floor map or the July 6 or July 7 program schedule.
- If you need help to identify the physical location of the hall, request assistance from the front desk.
Presentation
- You must be present at least 15 minutes before your presentation, preferably at the beginning of the session.
- Bring your presentation on a thumb drive.
- A laptop computer will be available for presentation. Your presentation will be uploaded to the computer.
- The laptop screen will be projected onto the screen and streamed for viewing by a virtual attendee.
- The first ten minutes are for presentation, and the remaining five minutes are for questions and answers.
- The starting and ending times will be strictly observed.
- You may also bring your laptop computer to the podium for presentation. In this case, we request that you join the meeting through Zoom to present your abstract/paper.
- The procedure for virtual presentations is explained in the next section.
Note
- If you are not present on time to deliver the presentation, the presentation will be canceled, and the abstract or paper will not be included in the proceedings.
- A conference floor plan may be posted on this website closer to the conference date to help you locate your physical conference room or the Zoom link for the presentation. You may also obtain the same information from the July 6 and July 7 schedules posted on this website. Click on the link below to access the floor plan when available.
Virtual Zoom Presenters
Zoom Location
- Note your time and day of presentation from the Conference Program. Programs for both days are available under the “Conference Info” tab.
- Identify your Zoom Link to the hall location from the floor map presented on this webpage.
- Connect your computer to the Zoom meeting by clicking on the link and entering the passcode provided to you when you registered for the Conference.
Presentation
- You are required to enter the Zoom meeting at least 15 minutes before your presentation, preferably at the beginning of the session.
- Be prepared to present by having your presentation already open on your computer and be ready to share the screen.
- When the Session Chair calls your name, start the presentation.
- It is important to have the camera unmuted so all the attendees can see the presenter.
- The first ten minutes are for presentation, and the remaining five minutes are for question and answer.
- The laptop screen will be projected onto the screen and streamed for viewing by a virtual attendee.
