Presenter Instructions

This page contains instructions for in-person and virtual presenters. The conference is held over two days. Each day, there will be four parallel sessions in the Main Hall, Medicine Hall, Engineering Hall, and Science Hall. The following floor map identifies the physical location and the Zoom links for the four presentation halls. Scroll down further for specific information on in-person and virtual presentations.

In-Person Oral and Poster Presenters

 

Physical Location

  1. You’ll need to be there at least 15 minutes before your presentation, preferably at the beginning of the session. 
  2.  Bring your presentation on a thumb drive.
  3. A laptop computer will be available for presentation. Your presentation will be uploaded to the computer.
  4. The laptop screen will be projected onto the screen and streamed on Zoom for viewing by a virtual attendee.
  5. For oral presentation, the presentation duration is 13 minutes, the first 10 minutes for the presentation and the next three minutes for questions and answers. 
  6. For the poster presentation, the presentation duration is 8 minutes. There is no question-and-answer component. 
  7. The starting and ending times will be strictly observed. 
  8. You may also bring your laptop computer to the podium for presentation. In this case, we request that you join the meeting through Zoom to present your abstract/paper.
  9. The procedure for virtual presentations is explained in the next section.

Note

  1. If you are not there on time to deliver the presentation, the presentation will be canceled, and the abstract or paper won’t be included in the proceedings. 
  2. The Zoom link for the presentation can be obtained from the July 4 schedule posted on this website. Click on the link below to access the floor plan when available.

Virtual Oral and Poster Presenters

Zoom Location

  1. Note your time and day of presentation from the Conference Program. Programs for both days are available under the “Conference Info” tab.
  2. Identify your Zoom link on the July 4 program schedule.
  3. Connect your computer to the Zoom meeting by clicking on the link and entering the passcode provided to you when you registered for the Conference.

Presentation 

  1. First Page: The paper will be in a one-column format with left justification.
  2. There must be a 1-inch margin on the left, right, and bottom.
  3. Font: Times New Roman typeface is required, 12 points, skipping one line between paragraphs.
  4. Second and All Subsequent Pages: There must be a 1-inch margin all around (top, bottom, right, left) in one column format, left justification, skipping one line between paragraphs.
  5. Font: Times New Roman typeface is required, 12 points, using only standard symbols and abbreviations in text and illustrations.
  6. Abstracts: Include between the title and the body of the paper, but not on a separate page.
  7. Headings: Headings are not required but can be included. If used, headings must be left justified, lowercase, and of the same font and size as the body of the paper. There must be only one space between the heading and the paragraph.
  8. Page Numbering: Do not number the pages.
  9. Length: No set limit for the number of pages in a paper.
  10. Pages can be landscape to accommodate graphics if necessary. All other requirements above still apply

Presentation

  1. You are required to enter the Zoom meeting at least 15 minutes before your presentation, preferably at the beginning of the session.

  4. When the Session Chair calls your name, start the presentation.
  5. It is important to have the camera unmuted so all the attendees can see the presenter. 
  6. The laptop screen will be projected onto the screen and streamed for viewing by a virtual attendee.
  7. The first ten minutes are for presentation, and the next three minutes are for questions and answers. 
  8. At the end of the presentation, please stop sharing the screen and be ready to answer the questions. 
  9. The starting and ending times will be strictly observed

Note

  1. If you are not present on time to deliver the presentation, the presentation will be canceled, and the abstract or paper will not be included in the proceedings. 
  2. A conference floor plan may be posted on this website closer to the conference date to help you locate your physical conference room or the Zoom link for the presentation. You may also obtain the same information from the July 5 and July 6 schedules posted on this website. Click on the link below to access the floor plan when available.
